TLDR: Your personal data belongs to you. We only use it to process your order and improve our service. And if you want, we'll keep you updated with news and inspiration. We only collect what we truly need and never sell your data.

Who are we?

What personal data do we collect and why?

We only process personal data that we need. Below, we explain, for each purpose, what personal data we collect, why we do so, on what legal basis, and how long we (must) retain the data:

1. Processing orders
  • What: Name, address, email address, phone number, payment information (see 2.) Order information.

  • Why: To process, ship, and handle your order administratively.

  • Legal basis: Performance of the agreement (your order) and legal obligation (tax legislation).

  • Retention period: 7 years after purchase in our financial records (tax retention obligation), 5 years in the ordering system, and 6 months in the logistics systems.

2. Payment details

  • We use a secure payment environment for your order payments.

  • If you pay with iDeal | Wero, we can see your bank account number, which we need to refund you if you return something.

  • For credit cards, we only see the last digits. When paying with PayPal, we only see the email address linked to your PayPal account.

3. Customer service and contact

  • What: What you enter in contact forms, chat or phone, email address, or social media handle (depending on how you contact us).

  • Why: To answer your questions and provide service.

  • Legal Basis: Performance of an agreement or your consent

  • Retention Period: 1 year after the last contact, unless still relevant for ongoing matters.

4. Newsletter and inspiration

  • What: Name, email address, newsletter interactions (opens, clicks).

  • Why: To inform you about news, collections, and offers, and to understand which content interests you.

  • Legal basis: Legitimate interest when you purchase something (soft opt-in) and your consent (you can unsubscribe at any time).

  • Retention period: Until you unsubscribe.

5. Website analysis

  • What: Browser type, page visits, how you access our website, anonymised (hashed) email address.

  • Why: To understand who our visitors are and how we can improve the website.

  • Legal basis: Legitimate interest (we have an interest in ensuring our website functions properly, providing services, and ensuring our marketing is effective; this does not significantly impact your privacy because we only analyse general visitor data).

  • Retention period: 12 months.

6. Returns and warranty

  • What: Name, address, return information, order number.

  • Why: To process returns and warranty claims.

  • Legal basis: Performance of agreements and legal obligations.

  • Retention period: 7 years in the financial administration (tax retention obligation), 6 months in the logistics systems.

7. Social media

When you visit our social media pages on Facebook, Instagram, and TikTok, your data is primarily collected by those platforms. We receive data from your visits there from the platforms; therefore, we have no control over that data and only know what they provide us, not what they have in total.

  • What: Page visits, social media handle, how you reached our page.

  • Why: To understand who our visitors are and how we can improve our marketing.

  • Legal basis: Legitimate interest; we have an interest in understanding whether our marketing is effective (or not).

  • Retention period: 1 year.

8. Website visits and cookies

We use different types of cookies on our website. These are small text files that are stored on your computer. A cookie records, for example, which web pages you view and which options you use. These cookies are also used to improve the website's user-friendliness.

We use functional, analytical, and advertising cookies. Functional cookies are necessary for the site to function. These cookies store the user's preferences. Functional cookies are always placed on your computer. You will not receive a notification to give consent for this. An example of a functional cookie is the Cookiebot cookie, which remembers whether or not your computer accepts cookies from us, so that this notification does not appear multiple times. Other examples include cookies from Cloudflare, Shopify, Returnless, and Vimeo.

Analytical cookies are used to analyse how visitors use the website. For example, we track which pages users visit, what type of devices they use, whether you've visited the website before, and where people come from. Your (language) preferences are also recorded here. You will receive a notification asking you to consent to this when you first visit the website.

If you give permission for this, advertising cookies may be placed during a website visit. These cookies are used to show advertisements on (partner) websites that may be useful to you, such as personalised offers. These cookies are also used to measure the efficiency of advertisements and limit the number of times you see the same advertisement.

All cookies we may place are listed in the cookie notification you receive when you first visit the website, or when you have deleted all cookies from your browser. With who do we share your data?

We never sell your data. We do need to share it to process orders and for all other webshop-related services. We work with trusted partners to deliver our services. Your data is only shared with parties that truly need it to process orders or communicate with you. These are listed below:

 We have data processing agreements in place with all these parties, stipulating that they may only process your data for us and must keep it secure. All data exchange and storage is encrypted and securely stored. Within team Plein Publique, only employees who need it for their work have access to customer data.

Your rights

You have the following rights with regard to your personal data:

  • Access: You can ask us what data we hold about you.

  • Correction: You can have inaccurate data corrected.

  • Deletion: You can ask us to delete your data, except for what we are legally required to retain under tax retention obligations, such as payment details and invoices.

  • Restriction: You can ask us to temporarily suspend processing, for example, if you believe the data is inaccurate.

  • Objection: You can object to processing based on our legitimate interests (such as website analytics). You can unsubscribe from marketing communications at any time.

If you wish to exercise your rights, please send a message to privacy[@]pleinpublique[.]com. We will respond within one month. To ensure the request is truly from you, we ask you to identify yourself with information we already have about you, such as your customer number or last order number. In all cases, we will only communicate via the email address we already have on file. If you communicate from a different email address, we may ask you to identify yourself with a copy of your ID.
